Job Description

We are looking for a Receptionist/ Admin Clerk to handle administrative tasks, managing phone calls and ensuring efficient communication within the Company.

Responsibilities:
  • Greet and welcome visitors in a professional and friendly manner
  • Answer and direct phone calls to the appropriate personnel
  • Manage and coordinate the front desk activities, including mail distribution and courier services
  • Assist with administrative tasks as needed, such as ordering of stationery, data entry and filing (both digital and physical)
  • Assist with scheduling meetings, coordinating appointments, and managing calendars
  • Maintain accurate records of all messages and returning all missed calls
  • Collaborate with other team members to ensure a smooth and efficient operation of the front desk
  • Preparing invoices and receipts – Assisting with billing processes and ensuring payment tracking.
  • Coordinating with vendors – Liaising with suppliers and contractors for materials, deliveries, and other needs.
  • Requesting and managing quotations (RFQs) – Drafting, sending, and following up on RFQs for materials, services, and subcontractors, ensuring timely responses for project needs.
  • When Required: Saturday work will be scheduled as needed, depending on project demands or office requirements.

Job Requirements

  • Excellent verbal and written communication skills
  • Strong customer service skills
  • Proficient in Microsoft Office Suite and general computer skills
  • Ability to multitask and prioritize tasks effectively
  • Strong organizational and time management skills
  • Ability to work independently and as part of a team
  • Ability to maintain confidentiality
  • Ensuring accuracy when handling documents, quotations, invoices, and other important records.
  • Familiarity with common construction processes and terminology can help in better understanding RFQs, project schedules, and team needs would be an advantage.
Qualifications:
  • 1 year experience in similar position (preferred in construction company)
  • HSC minimum
