Job Description
The purpose of this position is to ensure the effective promotion, sale, and distribution of the company’s products while maintaining excellent customer service and compliance with company policies. The Supervisor is responsible for monitoring the salesman team, maintaining accurate sales records, submit weekly and monthly reports and upholding the company’s reputation through professional interaction with clients.
Roles & Responsibilities
Team Supervision & CoordinationSupervise the daily activities of Salesmen and Helpers, ensuring proper route execution and workload distribution.
Monitor punctuality, attendance, and overall discipline of team members.
Ensure that all staff follow standard operating procedures and safety guidelines.
Route & Delivery ManagementPlan and assign delivery routes to Salesmen and Helpers for efficient coverage.
Ensure timely departure and return of all vehicles according to schedule.
Monitor delays, route changes, and exceptional situations and report them to management.
Verify that deliveries are completed accurately and customer issues are promptly resolved.
Stock & Vehicle ControlOversee the loading and unloading of stock in company vehicles.
Ensure Salesmen and Helpers manage stock responsibly and accurately.
Verify stock returns, damaged items, and shortages, and report irregularities.
Monitor the condition and cleanliness of assigned vehicles.
Performance MonitoringEvaluate the performance of Salesmen and Helpers on a weekly and monthly basis.
Send Appropriate report to HR department, in case of action to be taken against underperformance of salesmen and helper.
Implement action plans to increase productivity and enhance customer satisfaction.
Documentation & ReportingEnsure all delivery notes, invoices, and stock sheets are correctly completed.
Prepare daily and weekly reports on delivery performance, issues, and team productivity.
Record attendance, absences, misconduct, and overtime for HR processing.
Customer Service & Issue ResolutionAddress customer complaints related to delivery, behavior, or product issues.
Ensure the team maintains a professional and courteous attitude at all times.
Follow up with customers to verify satisfaction and solve outstanding matters.
Training & DevelopmentTrain new Salesmen and Helpers on company procedures, customer service, and safety.
Conduct refresher training for existing team members to maintain performance standards
Sales & Customer Service-After sales service (Monitoring Duties)Monitor that customers are provided with accurate information about product functions, characteristics, and usage.
Ensure that key product features are emphasized based on customer needs and technical knowledge.
Oversee the proper processing of sales invoices and the arrangement of product deliveries.
Ensure that a consistently high level of customer service is being delivered.
Track and monitor sales performance to ensure that sales targets set by management are met.
Oversee the handling of product returns and customer complaints, ensuring timely reporting to management.
Ensure that any new client is reported to the Director and that approval procedures (including mandatory forms) are properly followed.
Ensure compliance with ongoing indoor promotions.
Product Handling & Display (Monitoring Duties)Supervise the proper un-stapling, handling, and display of products on shelves.
Monitor market conditions, competitors’ products, and pricing trends.
Ensure regular product rotation (last in, first out) to prevent expired items.
Verify that no expired products are displayed at client sites or kept in the vehicle.
Oversee the maintenance of a hygienically safe, clean, and well-organized working environment.
Inventory & Documentation (Monitoring Duties)Supervise stock inventory activities and ensure proper accountability for all products.
Ensure that all company documents/forms (credit vouchers, payment vouchers, invoices, receipts, daily sheets, etc.) are fully completed and signed by clients when required.
Monitor the reconciliation of daily payments (cash and cheques) with sales receipts before end of day handover.
Review discrepancies and ensure that any differences are supported with verifiable proof.
Vehicle Management & Safety (Monitoring Duties)Ensure that the company vehicle is maintained in a clean, organized, and professional condition at all times (interior & exterior).
Monitor adherence to the rule that the vehicle is used strictly for official business unless management authorizes otherwise.
Ensure that no unauthorized passengers or drivers are allowed to operate the vehicle.
Ensure that any accidents, theft, or damage are immediately reported and that company reporting protocols are followed.
Monitor the reporting of mechanical issues or potential problems to management.
Ensure accountability for covering repair or replacement costs arising from negligence.
Monitor investigations related to negligence and ensure that appropriate legal/financial follow-up actions are completed.
Ensure reimbursement of insurance deductibles/excess or higher premiums in cases where insurance claims result from negligence.
Oversee compliance with all road safety regulations and ensure timely payment of penalties, fines, or contraventions incurred.
