Job Description

We are seeking a versatile Business Support Assistant to join our team, where your role will involve a dynamic blend of accounting responsibilities, administrative and on-site tasks. In this pivotal position, you'll contribute to the financial health of the company and support the smooth operation of our real estate and art sector activities.

Key Responsibilities:

  • Invoicing and Payments: Manage the invoicing process, track payments, and ensure accurate and timely financial transactions.
  • Bank Reconciliation: Conduct regular bank reconciliation to maintain financial accuracy.
  • Tax Preparation: Assist in tax preparation, including gathering necessary documentation and ensuring compliance.
  • Financial Records: Maintain organised financial records and provide insights for cost control and efficient financial processes.
  • QuickBooks: Utilise QuickBooks for accounting tasks, leveraging your knowledge of this software.
  • Secretarial Support: Handle incoming and outgoing correspondence, manage phone calls, schedule appointments, and assist in organising meetings.
  • Office Organisation: Maintain and organise office and client files, ensuring a well-structured and accessible filing system.
  • Client Relations: Greet clients, assist with inquiries, and ensure thorough follow-up for excellent customer service.
  • Compliance: Assist in collecting, verifying, and managing company data to ensure compliance with laws, including DPO obligations
  • Support in Property Management: Liaise & collaborate with service providers (cleaners, technicians, plumber, electrician etc) to ensure that a property is well maintained and prepared.
  • Support in Sales and Marketing: Collaborate with the marketing team by providing support in executing marketing campaigns, managing social media, and creating content to promote our real estate agency and art gallery.

Qualifications:

  • Strong foundation in accounting principles and practices.
  • Proficiency in QuickBooks is an advantage.
  • Excellent organisational and administrative skills.
  • Ability to multitask and manage various responsibilities effectively.
  • Strong communication and customer service skills.
  • Knowledge of compliance regulations and data management.
